Graduate Student Coordinator

LOCATION: 51Æ·²èÔ¼ÅÚ Baptist University (WBU) – Hawaii Campus

CLASSIFICATION: Non-exempt

POSITIONS SUPERVISED: None

GENERAL RESPONSIBILITIES: The Graduate Coordinator provides assistance to students regarding admissions requirements, degree plan and program requirements.  Analyzing academic information provided by students to evaluate and help students choose the best education options. Communicates with people outside the organization, representing the organization to customers, the public, government, and other external sources.

SPECIFIC TASKS AND DUTIES:

  1. Advises individuals to help them understand their educational options.
  2. Advises students regarding educational issues such as course and program selection, class scheduling, school adjustment, study habits, and career planning.
  3. Address community groups, faculty, and staff members to explain available programs.
  4. Assess needs for assistance such as financial aid, or other student services related topics.
  5. Enforce all administration policies and rules governing students.
  6. Follow up with students on incomplete files which must be completed before end of first term of enrollment.
  7. Assist students with graduation/degree completion related assessments

MINIMUM QUALIFICATIONS:

Education:

  1. Bachelor’s degree is required
  2. Master’s degree is preferred

Experience and Knowledge:

  1. Two (2) years of proven experience in an office setting is required
  2. Experience in academic advising is preferred

Skills and Abilities:

  1. Excellent oral, written, analytical and interpersonal communication skills
  2. Ability to multi-task and meet deadlines
  3. Independent problem solving, self-direction, and strong time management skills
  4. Skilled with word processing, spreadsheet, databases, and PowerPoint
  5. Must be able to build and foster relationships with internal and external stakeholders
  6. Excellent organizational skills and attention to detail
  7. Ability to manage sensitive and confidential information and situations with tact, professionalism and diplomacy

Work Environment: The work environment for this position is a standard office setting. Employees will work primarily at a desk or workstation, utilizing standard office equipment such as computers, phones, and printers.  The office maintains a controlled temperature.  Noise levels are generally moderate, with typical office sounds such as conversations and office machinery. 

Hours of Work: Plainview campus - Although full-time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. External campuses - Although full-time, nonexempt external campus employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. Normal work days on all campuses are Monday through Friday

Physical Demands:

  • Frequently stand and walk;
  • Frequently flex upper trunk forward while sitting or standing;
  • Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;
  • Frequently carry up to 10 pounds and occasionally carry up to 25 pounds;
  • Occasionally push or pull objects;
  • Occasionally flex upper trunk forward at the waist and partially flex at the knees;
  • Frequently reach at or below should height, and occasionally reach above shoulder height

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.
